Here’s the full checklist. Plus the stuff veterans wish they’d known the first time.
A trade show compresses your whole brand into a ten-foot box that people judge in three seconds while walking past. Every printed piece has to match: the back wall, the table, the handout someone shoves in a tote. If the banner and the flyer don’t match, the booth looks cheap. People notice from the aisle.

The shopping list
Vinyl banners
The back-wall workhorse. Hemmed and grommeted, hangs from any booth frame.
Posters & signage
Easel signs, shelf talkers, and directional pieces around the booth.
Flyers & handouts
The thing people actually take. Print more than you think. Running out on day one is the classic mistake.
Business cards
Everyone staffing the booth needs a fresh box. Check quantities two weeks out.
Stickers & giveaways
Kiss-cut sticker sheets and die-cut giveaways. The cheapest square footage your logo will ever occupy.
Booth-side decals
Contour-cut vinyl for counters, kiosks, and rented furniture you’re allowed to brand.
When to order what
3–4 weeks out
Order large format: banners, backdrops, signage. This is the window where everything is calm and nothing costs extra.
2 weeks out
Order collateral: flyers, business cards, stickers. Confirm booth staff counts first so card quantities are right.
1 week out
Confirm tracking on everything. If a piece is missing, this is when a rush reprint is still an option instead of an emergency.
Show week
Rush production is possible on many products, but freight is now your enemy. Talk to us before you assume it’s too late.
Shipping to the show? Advance-warehouse windows usually open about a month out and close days before the show. Check your exhibitor kit early, because advance freight is dramatically cheaper and safer than show-site delivery.
From the production floor
Size the back wall to the booth, not the file
For a standard 10x10 booth, an 8ft x 3ft banner fills the back wall above table height. Going full 10ft wide looks great on paper and then doesn’t fit the frame the decorator actually delivers. Measure the frame, not the booth.
Design for three seconds at ten feet
One message, huge, readable from the aisle. If the back wall has a paragraph on it, nobody reads the paragraph and nobody reads the headline either.
Ask the venue about fire ratings before you print
Convention centers and fire marshals can require flame-certified materials for hanging fabric and large graphics. It’s a checkbox when you plan for it and a crisis on move-in day when you didn’t. Our fire rating guide explains what they ask for.
Pack a repair kit
Gaffer tape, zip ties, scissors, and a handful of extra grommets have saved more booths than any warranty. Throw them in the crate.

What size banner do I need for a 10x10 trade show booth?
An 8ft x 3ft banner fits the back wall of a standard 10x10 booth above table height. For a table front, 6ft x 2ft. If the banner hangs overhead, go bigger, 10ft x 3ft, so it reads from across the hall.
When should I order trade show graphics?
Three to four weeks before the show for large format, two weeks for collateral. Rush production is available closer in. The real constraint late is shipping, so call us before writing it off.
Can you ship directly to the show or advance warehouse?
Yes. We ship to advance warehouses and show sites, labeled to the exhibitor kit’s spec. Send us the kit’s shipping page and we’ll match the labeling requirements exactly.
Will all my pieces actually match in color?
That’s the point of doing it under one roof. Every product runs through the same color management against your brand targets, so the banner, flyers, and stickers match, even though they print on different equipment.
