Privacy Policy

This Privacy Policy explains how Ponderosa Printing LLC, doing business as Fieldkit (“Fieldkit,” “we,” “us,” or “our”), collects, uses, and shares information when you use our website, online configurator, and printing and fulfillment services (the “Services”). By using the Services, you agree to this Policy and our Terms of Service.

In short: we collect only what we need to run your order, we use trusted providers to process it, and we do not sell your personal information.

1. Information we collect

Information you provide to us:

• Account & contact details: your email address (used for our passwordless magic-link sign-in), and your name and phone number when you provide them.
• Order & shipping details: the products and options you configure, quantities, and the shipping or pickup address you enter at checkout.
• Artwork & files: the print files, images, logos, and text you upload for your order.
• Payment information: processed and stored by our payment processor, Stripe. We do not store your full card number; we receive limited details such as a confirmation, the card brand, and last four digits. If you choose to save a card, Stripe stores it against your customer record so it can appear at your next checkout.
• Communications: messages you send us, including through our contact form (your name, email, company, and message).

Information we collect automatically:

• Device & log data: basic technical information such as your IP address, browser type, and interactions with the site, used to operate the Services, prevent fraud and spam, and keep the site secure.
• Local storage: we store items in your browser (such as your order in progress, your saved shipping address, and sign-in and saved-configuration tokens) so the Services work as you move through them. See Section 5.

2. How we use your information

• To create your account, quote, produce, and fulfill your orders;
• To process payments and calculate live shipping rates and taxes;
• To communicate with you about orders, proofs, receipts, and support;
• To operate, secure, and improve the Services, and to prevent fraud, spam, and abuse;
• To comply with our legal obligations and enforce our Terms.

3. How we share your information

We do not sell your personal information. We share it only as needed to run the Services, with service providers who process it on our behalf under contract, including:

• Payments: Stripe.
• Shipping: our logistics provider (EasyPost) and the shipping carriers you select, to rate, verify addresses, and deliver your order.
• Email delivery: our email provider, to send order and account messages.
• Analytics: Google Analytics and PostHog, if you accept analytics cookies (see Section 5).
• Hosting, storage & production: our cloud hosting and database, our file storage provider, and our prepress and print-production systems, which process your files to prepare and produce your order.

We may also disclose information to comply with the law or a valid legal request, to protect our rights, safety, or property or those of others, and in connection with a merger, acquisition, or sale of assets (in which case we will require the successor to honor this Policy).

4. Your artwork & files

We use the files you upload only to prepare, produce, and ship your order, and to provide reprints and support. You keep ownership of your files, as described in our Terms of Service. We retain them for a reasonable period to support reprints, records, and dispute resolution, after which they may be deleted. Contact us if you would like us to remove your files sooner.

5. Cookies & local storage

We use essential browser storage and cookies to make the Services work: for example, to remember your order in progress, keep you signed in, hold your saved configurations, and carry your address through checkout. These are necessary for the site to function.

We also use analytics tools to understand how customers use the site and to keep it working well: Google Analytics (pages visited, orders started and completed) and PostHog (product analytics, error tracking, and session replay, which records how the site itself is used during a visit so we can find and fix problems). These run only if you accept analytics cookies in the banner shown on your first visit. You can decline, and your choice is remembered. We do not use the site to serve third-party advertising or to track you across other websites.

6. Data retention

We keep personal information for as long as needed to provide the Services, fulfill the purposes in this Policy, comply with our legal, tax, and accounting obligations, and resolve disputes. When it is no longer needed, we delete or de-identify it.

7. Security

We use reasonable administrative, technical, and physical safeguards to protect your information, including encryption in transit and reputable, security-focused providers for payments, storage, and hosting. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

8. Your choices & rights

You can review and update your account information by signing in or by contacting us. Depending on where you live, you may have additional rights, such as to access, correct, delete, or receive a copy of your personal information, or to object to or restrict certain processing (for example, under the California Consumer Privacy Act or the EU/UK General Data Protection Regulation). We do not sell your personal information. To exercise any right, email us at the address below, and we will respond as required by applicable law. We will not discriminate against you for exercising your rights.

9. International visitors

We are based in the United States and process information here. If you access the Services from outside the United States, you understand that your information will be transferred to and processed in the United States, where privacy laws may differ from those in your location.

10. Children’s privacy

The Services are intended for businesses and adults and are not directed to children. We do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will delete it.

11. Changes to this Policy

We may update this Policy from time to time. When we do, we will revise the “Last updated” date above, and the updated Policy takes effect when posted. Your continued use of the Services after that constitutes acceptance of the revised Policy.
